Studies on Communication Problems and Best Practices in Outsourcing

Studies on Communication Problems and Best Practices in Outsourcing

Author: Tommie Pope

Effective communication plays a major role in the world of outsourcing where folk with different nationalities, culture, and interests work in partnership to achieve their business goals. Even though it is now simple and convenient to talk to folk overseas, thanks to sophisticated technology, issues are still being encountered because communication best practices are usually neglected. This eventually obstructs BPO players to create and maintain long term outsourcing relationships.

In the first of four-part Best Practices Series 2009 released by Outsourcing Center titled'Four Communication Best Practices frequently neglected in Outsourcing Relationships', fifty six buyers who took part in the study noted that communication issues arise from :
2. Agreeing ( or not ) on the significance of'noise' or customer's's feedback/complaints
Service supplier's failure to hear the buyer

The secret to having a successful outsourcing relationship is to reach a shared understanding of one another's goals. To reach this, service suppliers and buyers must adhere to the four communication best practices that are frequently overlooked in outsourcing :

1. Service suppliers must take the'noise' into account. They pay so much attention on meeting the requirements that they fail to look into what customers consider the deliverables, so it is the buyer who ends up dealing with customers' beefs. Suppliers have to understand that'noise' is important in building an outsourcing relationship.

two. Create a communication plan for the period after the transition phase. The relationship generally runs smoothly at the start of the project when both parties understand one another's goals.
Outsourcing contract should be'crystal clear'. To avoid conflicts, there has to be no room for vagueness or enigma when it comes to the outsourcing contract.

Mutual trust must be established. Buyer and service supplier need to demonstrate that they truly listen and understand one another. For service suppliers, concentrate on the purchaser's issues and make efforts to resolve them. The same goes to buyers. Communication entails 2 or more parties, and having mutual trust is important to conquer the problem.

this study is a clear indication that communication is more than just talking to the service buyer or supplier. It is about understanding each other's issues and concerns and coming up with solutions which will work for both parties. Culture and interests may vary, but shared understanding of objectives must be established in order to develop an outsourcing relationship that's both enduring and profitable to service buyer and provider. The main thing is for buyers and service suppliers to keep the best practices in communication in mind to avoid issues.

How to early determine if your service provider is in trouble

How to early determine if your service provider is in trouble

Author: Kelly Boyer

Twenty five percent of existing BPO service providers will stop to operate in 2012. This is reliant on a recently published Gartner research which is part of the Special Report entitled'Assess and Manage seller risks to guard Your Business'. This is attributed to the current depression, lapses in outsourcing contracts, and not being able to acclimatize to standardised delivery models.

With these elements in mind , Gartner observed that BPO buyers must take caution before venturing into any new outsourcing contract, and should be privy to the six alert signs meaning that a service provider is not stable enough to maintain a long-term outsourcing relationship :

one. Unprofitable outsourcing deals - According to the study,'Some BPO suppliers are carrying unprofitable contract portfolios, largely springing from too-much, too-soon pursuit of deals, without a lot of thought as to the way to transition them to a standardized, rationalized, worthwhile state of ongoing operations.'

2. Incapacity to get new projects - it's a good sign if the service provider has the power to continually take on various necessities of different clients.
3. 4. Incapability to bid on new BPO deals because of lack of enough funds - Some service providers cannot take on new BPO contracts because of shortage of enough capital. Likewise, the so-called'lift and shift' methodology in which a business process is moved offshore to reduce costs because of lower wages will at last create issues for service suppliers that depend on it because they continue to need capital for the resources needed to do that outsourced task.

Exposure to banking / financial industry - With the present finance crisis, those service providers with cash coming from the finance or banking sector will be in a tight spot. If the outsourcing partner has more than 85 % of money from the banking sector, the buyer should know if this will have an impact on their business operations. Increasing levels of contract cancellation and insourcing - Gartner says that before signing an outsourcing contract, buyers must come up with a plan on what to do when contract ends.

During these troublesome times when outsourcing has become an avenue for corporations primarily to chop costs, it is crucial to pay very close attention to your outsourcing partner. Know the warning signs and be constantly conscious of what has happened in the BPO industry. Have a clear picture of what you need to achieve before signing any outsourcing contract.

Outsource Your Office

Outsource Your Office

Author: VH International Business Solutions

Why spend thousands of dollars on all the expenses involved with a staffed brick and mortar office when you can outsource it?

In just about a business day you can open and outsource your physical office by establishing a New York Virtual Office business account with VH International Business Solutions… right on-line!

Yes it’s that simple!

Wondering what a virtual office entails? Wondering what you should you consider?

There are several items to consider as each business is unique in it's needs. For this reason, we at VH International Business Solutions provide pricing for all of our services on an a-la-carte basis. You pick and choose only the services you need – we don't “prepackage” and stick you with services you'll never need or use.

Address:

Let's start with the address. This is the main component of your New York Virtual Office.

You will be issued a physical office address with on-site reception and meeting facilities directly on Broadway in Midtown Manhattan's trendy Flatiron District. Office address rental rates are from only $25 per month. You can use the address as you would any physical office address. We issue you an actual office suite address - not a fabricated suite number, which is usually just a smoke screen for a mailbox. You can walk right into the office address you are issued and meet with your clients, you can't do that with a mailbox.

Our offices are located on in a high rise office building designed by a renowned architect. The building is a combination of stone, brick, terracotta, iron and copper in the Beaux Arts style with extensive detailing inside and out.

Our office building holds Landmark status from the City of New York - What constitutes a Landmark? A landmark is a building, property, or object that has been designated by the NYC Landmarks Preservation Commission because it has a special character or special historical or aesthetic interest or value as part of the development, heritage, or cultural characteristics of the City, State, or Nation.

Location, Location, Location:

We are across the street from Madison Square Park with its notable surrounding architecture as well as brilliant sunlight from the broad expanse of the area which is also home to such architectural highlights as the World renowned Flatiron Building, the Metropolitan Life and New York Life buildings and the exquisite New York State Appellate Courthouse - as well as multiple foodie hot spots by renowned top chefs.

We also offer easy access to transportation to all parts of the city and the tri-state area. We are within 2 blocks from the R and W subway lines. A block further are the F and V lines, as well as the Path Train. A short walk will bring you right to Penn Station with access to the Long Island Rail Road, New Jersey Transit, and Amtrak.

Mail Handling:

You are welcome to receive mail at the office. Since it is a physical address, there are no limitations on the type of correspondence you can receive. Reception can sign for any UPS, Fedex, DHL, TNT, Certified Mail, Registered Mail, Service of Process, etc. You can select to have your mail forwarded anywhere in the world - anywhere! You can also arrange to pickup mail and have your mail wait for you at reception.

If you need your mail to be sent out of NYC with an NYC postmarked, we can assist. This is what is commonly referred to as re-mailing.

Phone Service:

Need a phone number? No problem, we offer local 212 phone numbers ready for your use and to advertise as your own on business cards, stationery, etc. Now, the question to ask yourself is: How should my number be answered?

  • Do I need a human to answer the phone in my company name? If so, we can arrange to have a live operator answer the call in your company name. The caller can then leave the message with the operator or be transferred to voice mail to leave a message. Our operators are available to answer your calls 24 hours a day, seven days a week. This service is called Live Answering.
  • Do I want to answer my own calls? If so, we can redirect a 212 Manhattan phone number to ring directly on your cell phone, office phone, home phone, or whichever phone number you choose. You, or your staff, can answer the calls directly. This service is called Call Forwarding and available to you if needed
  • Can a machine answer my calls? This is the most cost efficient option. If standard voice mail is what you need, we have multiple options for you. All of our voice mail numbers include a generous 2-minute outgoing greeting and allows callers to leave up to a 3-minute message. You can record your own greeting, or send us a sound file with your professionally recorded greeting. All of our voice mail services are flat rate, so you never need to worry about how many calls you receive. Retrieving your messages is easy! We have multitude of options for message retrieval and notification, a few examples: Your messages can be sent to you via email so you can listen and save your voice messages. You can receive a phone call each time you receive a message. We can send you a text message notifying you of a new message.

Fax Service:

We offer 2 types of fax services. You're issued a local 212 direct dial Manhattan fax number. There's one important question to ask yourself: Do I receive many and / or urgent faxes? If so, we recommend dedicated fax service. It's a flat rate service, so you never need to worry about being charges for extra faxes or pages.

If you rarely receive faxes, and they are of a non-urgent matter, you can use our shared fax service. There is no monthly charge for this service when you order a New York Virtual Office address rental. All incoming faxes are free of charge. Only fax forwarding charges apply. You may also choose to have your incoming faxes forwarded via post mail along with your standard mail and at the agreed to intervals at no extra charge.

Visitors to your NYC office:

Wondering what would happen if an unscheduled client/guest shows up at your NYC virtual office; Simple - they are greeting by reception as a guest would be greeting in any standard office. They'll be notified that prior appointments are required to meet with you and offer to take a message from them and then forward that message to you. The message will either be emailed to you or we can scan and email any documentation the visitor leaves for you.

Meeting Facilities:

We offer professional meeting space, in a sunny, clean and well appointed facility. You receive approximately 200 square feet of room - all to yourself - equipped with a computer workstation; wifi internet connection; conference table with leather seating for 5; a whiteboard; easel; stereo speakers and an 84" x 84" projection screen. You will be appointed a staff member to assist and coordinate your meeting. Additional available services include administrative support, easel pads, digital projector, office supplies, printing, copying, water service, catering, car services, etc.

Understanding The Needs of The Customer is Important

Understanding The Needs of The Customer is Important

Author: christian abad

One way on how to handle a customer that is interested about a certain product is to get the buying signal or the attention to be able to discuss the details clearly.
In too many companies, the customer has become a bloody nuisance whose unpredictable behavior damages carefully made strategic plans, whose activities mess up computer operations, and who stubbornly insists that purchased products should work. Businesses should always consider two factors on how to sustain customer confidence, honest and fair is important. What are the most maintain transactions of excellent companies that are responsible for their success? These are the manufacturing, sales, accounting and research areas, and there are customers who are interested about these areas. The benefits and features are the most common factor if you want your customer to continue support you to increase your sales. Considered as the utility once team up with the company, this outsourcing industry will work on every detail that will give satisfaction to the people involved in it. The main reason on why some companies has sustain their stability because they were able to limit their budget costs and they continue to improve their product. With the affectivity of an outsourcer these days, companies are not having a hard time dealing with customer care because they will just do the job and guaranteed less expensive.
Product knowledge must be also explained once the deal is set. With the quality and saving you get from this outsourcing, the company should not focus on giving customer satisfaction, the overall performance of the business should be one of the most important thing to see and not just on how to save money. The reason for considering outsource, because it offers total reduction of the cost at the same time providing customer care for the company. Considering that outsource solution is present already, they must be more specific and flexible once there are customer that will really insist of what they need so every details must be explain well. ‘Reuse’ the usual term an outsource provider do when there is no available new technology that will support their standard program, there will be a certain agreement once this will start to operate so that no one is to be blame. The possibility of changing existing in house systems will definitely give way to the new systems which the outsource provider will demand already.
Definitely the cost of the system will be finalized at the utility program. One of the main goals of outsourced industry is to help the company to become successful, when the economic scale will start to increase during the period of what the outsourcing set, it will definitely reflect on how well it was handled and the response of the customers is remarkable. If all the utility industries are really after increasing the output of the business thru a high quality solution, outsourcing will continue to succeed on what they are doing. These outsourcing firms are giving a lot of favor to every business that wants their services and they can really proved that the company will save money and quality customer service is not affected.

The Philippines bags ‘Offshoring Destination of the Year’ in UK for the 2nd time

The Philippines bags ‘Offshoring Destination of the Year’ in UK for the 2nd time

Author: John Borillo

The international spotlight is on the Philippines once again, and this time it shows that it is a force to reckon with.

Last October 15 this year, the Philippines received the Offshoring Destination of the Year for 2009 at the 6th Annual National Outsourcing Association Awards in the United Kingdom. This is the second time the country has won the prestigious award since 2007. It recently bested four other countries such as Malaysia, Egypt, Russia and Sri Lanka in bagging the title.

“We were elated when we heard about the award,” said Fred Chua, chief executive officer of Magellan Solutions Outsourcing Inc., an expanding Philippines-based call center which serves small to medium enterprise markets around the world. “This is victory for all of us in the Philippine outsourcing sector.”

The National Outsourcing Association is the recognized body for the outsourcing industry in the United Kingdom. The association judged countries for this award on a set of criteria covering the country’s advantages, attractiveness to UK companies, its level of market penetration in the UK, and availability of outsourcing areas.

“This is definitely great news for small to medium sized businesses considering outsourcing offshore like in the Philippines. Whatever resources they currently have should still encourage them to explore outsourcing in spurring business expansion. This is the best time for them to see the benefits of partnering with a call center provider in the Philippines,” Chua added.

Top global industry sources have cited the Philippines as one of the fastest growing offshore destinations in the world. Chua attributes this reputation with the country’s proficient English-speaking workforce, telecommunications and real estate all working in synergy to provide world-class services to the international clientele. The latest outsourcing award is another feather on its cap of achievements.

“The Offshoring Destination Award affirms our industry’s steadfast commitment to providing the highest level of service, whether it’s for business with large operations or a small to mid-sized business with limited resources,” Chua said. “We will strive even harder to pursue our growth in the years to come.”

How to Start Outsourcing

How to Start Outsourcing
By Jeanne Burns

Even with the global financial crisis, outsourcing seems to be one of the few choices that continue to be promising. There is always something alluring about tapping outside talent to make them work for you. How do you go about it and how do you start outsourcing?

Selection
Determine which service or product you wish to outsource. Ideally, a service or product that requires more labor or lengthy processes are the best ones to outsource because your company can save valuable time and effort when these are outsourced.

Contacting the Outsourcing Partner
This is when your chosen outsourcer will likely provide you a free trial. This is also when you discuss your expectations and standards, requirements, delivery times, and other things that you wish to be carried out. It is imperative that you share these details with your chosen outsourcing partner in order to generate the best output. This trial period will test your outsourcing partner's strengths while at the same time allowing you both to iron out possible kinks before going into full production mode.

If for some reason you are not happy with the provider you chose, you can then start searching for another vendor who can meet your requirements better.

Pricing
The discussion of price is something that must be done at the onset to avoid any confusion and so that you can make your requirements clear to your chosen partner.

These steps make up the core of venturing into outsourcing. Follow these steps and you can be assured of an easy outsourcing life.

The Pros and Cons of Outsourcing

The Pros and Cons of Outsourcing

Author: Monica Alexander

Outsourcing is a trending topic amongst news articles, blogs, and social media networking sites, in recent times. Will Leger, Vice President of Digital Sabre, recently took part in a LinkedIn discussion about outsourcing. The discussion focused on whether or not outsourcing was good for the US. The opinions ranged from totally disagreeing with outsourcing to recognizing outsourcing as the future solution for most companies. There are many pros and cons to outsourcing, especially when it comes to software application development.

The number one reason for outsourcing today is to INCREASE PROFIT. Outsourcing to third world countries, such as India, allows companies to pay cheaper labor wages because of the lower cost of living in those areas. With lower spending on software development, companies can focus on their core business, cut operating costs and increase their productivity.

A number of individuals and companies outsourcing for the first time, who are focused on sharply reduced cost of delivery, simply do not have appropriate processes in place to validate whether the company outsourced to can actually deliver throughput with the levels of quality required within the time line required. Hence, unpleasant shocks in quality and perhaps time overruns and cost overruns, thus negating the value of outsourcing. Individuals and companies who have reasonable “ skill / throughput” validation processes in place succeed in reducing costs while keeping quality in place.

Many Americans fear outsourcing, and this fear has created a lot of negative associations or myths about outsourcing. There are many stories that cite poor quality, bad service and security issues when companies choose to outsource. To combat the myths of poor quality, bad service and security issues, it depends on which company you are working with. The right software development firm should be using the Capability Maturity Model methods for development projects. CMM requires certain processes and documentation to be done, and adherence to the CMM standards ensures a high degree of quality, where schedules and budgets are met. Digital Sabre is CMM level 3 certified.

Maybe one of the biggest issues Americans have with outsourcing is the loss of jobs in the United States. An interesting fact is that “For every $100 worth of work shipped offshore, $130 to $145 will be reinvested in the United States economy” (Evalueserve). Market opportunities will increase for US companies, while other countries become more developed. Also, as technology continues to advance more jobs will be created here in the US. Thousands of jobs were and will be created because of the internet, environmental and energy technology and telecommunication. So, when you look at the big picture and long-term effects, outsourcing actually leads to the creation of more jobs in the United States.

Outsourcing is all about working with the right company. Here are some questions you should consider when choosing a company:

. Does the company have a local office?

. Is the company CMM certified and if so, at what level?

. What do past clients have to say about their services?

. Does the company have an experienced, well organized team working offshore?

. Is the latest technology being used to ensure efficiency?

. Does the price correlate with professionalism, quality of work and customer support?

Outsourcing Article Writing

Outsourcing Article Writing

Author: Mike Greaves

Article writing is turning out to be a real money-spinner in the thriving cyber world. If you happen to be good at turning out phrases article or content writing may be your thing, there being such a demand for copy writers, ghost writers, and writers for the web. In the current unemployment climate nothing could be more desirable than getting a steady stream of work. An increasing workload directly translates into an augmented income. But like all good things, this too has a flip side. An increased workload means increased pressure on your time. With deliverability at a premium this could become a problem.

A hastily done assignment results in more that loss of face, it could cause your clients to take their business elsewhere. Also, there could be topics you might not be comfortable handling. What is the best course of action in that case? Why, outsourcing of course. A lot of writers are turning into writers’ agents and thus launching a brand new career for themselves. So now that you are ready to take the next step you need to remember a few rules of thumb before scouting about for content, blog, or web writers.

The first thing you would do well to remember is that writers – especially ghost writers – charge quite a pie. All you need to do is go online to realize that most charge up to $ 25 for an article. One way of getting around this irksome snag is to negotiate with your clients before settling on a sum that is acceptable to you (commission-wise) and your writers. Do remind yourself, though, that not many outsourced writers will be happy to settle for – what they might see – as pittance. One way around it, of course, is by hiring newbies anxious to gather experience. This could be like treading on thin ice, however, as hiring greenhorns could lead to quality decline. In which case you could ask your writers to submit an article (on a topic set by you) before you make a decision with regard to selections.

Hiring someone to do your job might seem like a good idea but it’s not the end of the story. You would need to carry out quality checks repeatedly, to begin with. Being an internet marketer means doing keyword research, setting targets and selecting topics depending on the core competencies of your writers. You would need to be as descriptive as possible with regard to the process and format including the style required, word count, keyword density et al.

But first and foremost, you would need to ensure that you have a trustworthy band of writers who know how to work within timelines and are committed to quality. You would also need to review the articles from time to time for that reason. You would also need to proof-read your articles before submitting the same to your clients. Proofing can fall victim to human error; thankfully, though, advanced software can now take of this problem. Outsourced article writing can be a great business. If you know how to let it flourish, that is. For more information please visit this site http://pragmaticoutsourcing.com
